Cancellation and Refund Policy
Last updated 1 September 2026
This policy applies to all events organised by the Buddha Dhamma Fellowship Association Kuching (“BDFA”) for which a fee is charged. It forms part of our Terms and Conditions.
Event fees are modest and are set only to cover direct costs — typically meals, refreshments and materials — which BDFA commits to in advance based on the number of confirmed participants.
When fees are paid
Registering for an event costs nothing. Where places are limited, BDFA reviews the registrations received and selects participants; where they are not, we confirm places in order of registration. In either case, we ask for the fee only after your place has been confirmed, and we tell you how to pay at that point (bank transfer to the BDFA account, or in person). Your place is secured once the fee has been received.
Because nothing is paid before confirmation, applicants who are not offered a place have nothing to be refunded.
Cancelling your place
If you can no longer attend after your place has been confirmed, please tell us as early as possible, by WhatsApp or email using the contact details on the event page, so that your place can be offered to someone else.
| Situation | Refund |
|---|---|
| You cancel 7 days or more before the first day of the event | Full refund of the fee paid |
| You cancel less than 7 days before the event | No refund, as meals and materials will already have been committed |
| You do not attend and have not told us | No refund |
Refunds are paid to the account the fee came from, normally within 14 days.
Partial attendance
Fees are for the whole programme. We are not able to refund a proportion of the fee if you attend only some days or sessions, arrive late or leave early. For retreats, priority is given to those who can attend the full programme, so please only accept a place if you expect to complete it.
Compassionate circumstances
If you have to withdraw at short notice because of illness, bereavement or another serious circumstance, please let us know. The committee may, at its discretion, refund the fee or carry it forward to a future event, even where this policy would not otherwise provide for a refund.
If BDFA changes or cancels an event
- If BDFA cancels an event, all fees paid will be refunded in full within 14 days.
- If BDFA postpones an event or makes a significant change — for example a change of teacher or venue — you may keep your place for the new arrangements or cancel and receive a full refund, provided you tell us within 7 days of being notified of the change.
- If an event has to end early because of circumstances beyond our control, we will refund what we reasonably can after unavoidable costs have been met.
Donations
Donations to BDFA are gratefully received and are non-refundable.
